In a nutshell, dropbox is a service that allows you to save a copy of your files to the internet.  Think of it as a very basic “cloud” service for your business and you’re on the right track.

Dropbox works by installing a small application on your PC, Mac or Linux machine.  During the installation a Dropbox folder is created which is linked to an account that you sign up for as part of this process.  (Storage space is free for 2GB, $10USD a month for 50GB and $20USD a month for 100GB.  It’s cheaper if you pay by the year).   After the program is installed, anything that you save in this Dropbox folder is automatically uploaded to your account online.  Simple.  Beautiful.  Bloody marvellous.

Installation of this app on other computers will automatically copy the files FROM your Dropbox account, TO the computer.  Can you say “satellite office”?  Install it on your work computer, home computer, laptop and get your overseas virtual assistant to install it on her computer.  Files are now shared and up to date.  Got a Blackberry, Apple or Android device?  Install their app and access your files from there too.  Don’t forget to keep an eye on your upload and download limits!  🙂

The best part of this service is that it acts like an online backup.  Lose every PC in your office due to natural disaster?  No problems, buy a new PC, download the app, and watch you precious files appear.  Overseas and you’ve lost your laptop?  Too easy, get to an internet café and access your files from their website.

It also has some very cool features like unlimited undeletes and unlimited file revisions (should you pay the extra $40 or so dollars for this).  You can also make public some of the files in your Dropbox account and even share out entire folders for other Dropbox users.

I know there are other services of this nature, but this is the one I’ve used and stuck with for many years and it’s never disappointed me.  This is without doubt, one of THE most important services to your small business.  It’s cheap, easy to use, adds flexibility to your business and it can save your bacon, so there’s no excuse not to use it.  Even not having a small business is not an excuse.  Use it for your personal photos and files!
